Refund Policy
Time zone: All deadlines and cutoffs are based on U.S. Central Time (CT).
Applies to: all tutoring sessions, packages, and workshops delivered by MathVIBE (“we,” “our,” “us”) in Texas (online and in-person).
1. Definitions

Session – a scheduled block of tutoring delivered online or in person.

Package – a prepaid bundle of multiple sessions sold at a discounted rate.

Client – the student, parent, or legal guardian who books and pays for services.
2. Client-Initiated Cancellations

≥ 24 hours notice - Full refund or a free reschedule

< 24 hours notice - No monetary refund; one courtesy reschedule per semester

No-show - No refund or reschedule
Tip: If you think you might miss, please reschedule early—slots are limited.

3. Package Refunds

Cancel within 30 days: Receive a prorated refund for unused hours minus a 10 % administrative fee.

Used vs. unused hours: Delivered sessions are re-priced at the current single-session rate (no package discount) when calculating refunds; any remainder is refunded.

After 30 days: Packages become non-refundable, but unused hours never expire and can be scheduled subject to availability.

4. Tutor-Initiated Changes
If we must cancel or significantly delay a session, you may choose:

A free reschedule that fits your calendar, or
-
A full refund of that session’s fee to your original payment method.
5. Technical or Facility Issues
If an online session is disrupted by a platform outage or a confirmed connectivity problem on our side, we will either (a) extend the session to make up lost time, or (b) reschedule the affected portion at no cost. Client-side tech issues follow the normal cancellation table in Section 2.
6. Non-Refundable Items

One-time registration, assessment, or materials fees once resources have been provided.

Completed sessions (delivered services cannot be undone).

Bank/processing fees that result from disputed or reversed transactions (see Section 9).
7. How Refunds Are Paid

We respond within 2 business days. Approved refunds are processed according to Section 7.
9. Chargebacks & Payment Disputes
If something seems wrong with a charge, please reach out before contacting your card issuer or bank—we can usually resolve issues quickly and avoid added fees or service disruption. Unresolved chargebacks may result in a hold on future bookings until the matter is settled. Clear communication helps both sides and supports transparent business practices under Texas consumer-protection law.

10. Texas Consumer Protection & Special Cancellation Situations
Our policy governs most tutoring purchases in Texas because state law generally lets businesses set their own refund terms unless a specific rule applies. We comply with the Texas Deceptive Trade Practices–Consumer Protection Act (DTPA), which prohibits false, misleading, or deceptive acts in trade or commerce and gives consumers remedies if harmed. Off-Premises / In-Home Sales: If you purchase a tutoring package during a qualifying “door-to-door” or off-premises sales situation (for example, we meet at your home and you sign up on the spot), you may have a 3-business-day right to cancel under Texas and federal “cooling-off” rules. We will provide written cancellation instructions whenever a transaction qualifies.
11. Policy Updates
We may revise this policy from time to time. Changes take effect immediately for new purchases and 30 days after posting for existing clients with prepaid sessions. We will update the “Last updated” date above and notify current clients by email when material changes occur.
